How Facilities & Services readies campus for convocation 

Long before the caps and gowns arrive and thousands of graduates file through Convocation Hall, F&S is hard at work preparing the hall, the grounds and more.

Convocation is an exciting time at any university, but for the University of Toronto, it’s an art. More than 14,500 students will cross the stage at Convocation Hall this year in 34 ceremonies, over a period of 17 days. The scale of this requires mass coordination, with every department at Facilities & Services contributing to a memorable celebratory experience for graduates and their guests. 

Here’s a little on what we get up to prepare: 

Setting up spaces for success 

Our Campus Moving team plays a vital role in the execution of convocation, transforming spaces all over campus, from atriums, balconies, halls, outdoor spaces and more. The team sets up gowning spaces, stages, manages table and chair deliveries and supports set-up for presentations, banquets and receptions. Their coordinated and precise deployment contributes to the creation of an accessible, functional and celebratory environment for all.

Planting to perfection 

The beautifully revitalized King’s College Circle is home to numerous trees, flower beds, shrubs, planters and more, as well as a beautifully maintained grass lawn, the beating green heart of campus. All of these are tended to by the Grounds team, who, in advance of convocation, are hard at work planting annuals, weeding, trimming the grass, mulching, setting up outdoor furniture and ensuring the area is blooming beautifully all June long. 

Keeping things clean, safe, stocked and accessible 

With so many guests and honorees arriving on campus, our Caretaking team is hard at work ensuring interior event spaces across campus are looking their best. Before that first graduate crosses the stage, Caretaking has cleaned carpets (including the red carpet!), removed winter mats, cleaned and repaired accessibility ramps, ensured the lights are all functioning and stocked washrooms with supplies and hygiene products.

During convocation, the team is ready to swoop in between events to keep spaces stocked and clean for incoming events. Caretaking coordinates with other groups too, including Campus Safety to ensure buildings are secure and accessible, and Waste Management to coordinate the safe and regular removal of garbage.

Taking care of Convocation Hall 

Convocation Hall is one of the most iconic buildings on the St. George Campus and has been a landmark since its construction in 1907. Each year, the assigned property manager works with contractors, carpenters and other professionals to ensure the historic venue is looking its best. This work can include repairs to the exterior columns or steps, as well as updates to seating, doors and IT systems.
