Moving offices or labs checklist

Our Moving Services team provides various support services to help you move into, out of, or between offices or laboratories on campus. While each move presents its own challenges, below is a general guide to help you get started.

Office moves

If youre moving administrative spaces and materials, please follow these tips. 

Select a mover

  • For moves between spaces on-campus, please submit a service request.

Appoint a move coordinator

  • This person will act as a central contact for the office being moved and can act as a liaison between the department, Property Management and Moving Services.

Arrange for phone disconnection and reconnection

Hold mail deliveries

  • Either cancel or hold standing deliveries. Contact Mail Services about how to make these changes prior to moving.

Contact your property manager

  • Your property manager can help coordinate: 
  • Installation or connection of computer and data lines 
  • Signage for the new location 
  • Keys for the new location

Plan for discarding equipment or furniture

  • Wipe any electronics to be discarded. If you want to discard computers or hard drives, be sure to take the appropriate measures to remove information before discarding it. 
  • Waste and recycling: For additional waste or recycling bins to start separating items that will not be moved, contact Waste Management and Recycling. 
  • Discarding: If you need to discard equipment or furniture, Moving Services can remove unwanted equipment or furniture.

Plan for the move by reviewing pathways, elevators, and loading docks

  • Pathways: Identify the pathway from your space to the elevator and the elevator to the loading dock. Are there items in pathways that prevent moving items safely? Please make the appropriate arrangements. 
  • Floor plan: If possible, provide a floor plan with the room numbers showing where the furniture is to be delivered. 
  • Elevators and loading docks: Please remember that elevators serve all building occupants. Depending on the size of the move, you may need to schedule the move during off-hours so that access to elevators and loading docks can be made available.  
  • Consult with your mover regarding what type of trucks will be used and ensure that they will fit in the loading docks.

Pack for the move

  • Campus Moving sells moving supplies to make your move easier. We also offer a packing service where our staff will pack the contents of the move for you. 
  • If it fits in a box, box it. Don’t let anything stick out of a box. 
  • Fill all boxes full, if the boxes are half-empty, they will crush when stacked.  
  • Fold flaps of the box and always tape closed. 
  • Label everything to be moved.

After the move

  • Ensure no items or equipment are left in the hallway or in the offices.
  • Return keys to the move coordinator and turn off lights. 
  • Return plastic and cardboard boxes to Moving Services for reuse.

Laboratory moves or decommissions

If you’re moving laboratory equipment or refrigerators, please follow these tips.

Moving Services can move or safely dispose of laboratory equipment and refrigerators. Before we can do this, the equipment and/or refrigerators must be thoroughly decontaminated. If you’re looking to move or dispose of laboratory equipment and refrigerators, please follow these tips. 

  1. Empty all equipment and refrigerators. 
  2. If you’re moving chemicals, gas cylinders or radio isotopes, contact Environmental Protection Services at hazwaste.ehs@utoronto.ca or 416-946-3473. 
  3. Ensure any laboratory equipment is free of chemical, biological, radioactive or other hazardous substances. 
  4. Let Moving Services know in advance about any specific requirements that may be involved in moving scientific equipment (i.e., no tipping or shaking). It’s best to contact equipment manufacturers for information on safe moving procedures. Equipment containing coolants (e.g., freon) or other gases may require an additional charge for the safe removal of the chemical. 
  5. If you’re disposing of items containing asbestos, notify Environmental Health and Safety in advance. 
  6. Print and complete a safe-to-remove taghave it signed by the lab’s principal investigatorand attach it to the equipment.
